What makes a good business phone greeting

  • Say who they reached first. Callers want to know they dialled the right number.
  • Keep it short. A main greeting with a menu is usually best under 30 seconds. Check yours with the script timer.
  • Put the most common option first, and keep menus to about four options.
  • Give a way out: staying on the line or pressing 0 should reach a person or voicemail.
  • Use one voice for every message so your line sounds consistent.

More examples for different businesses are in our guide to phone greeting and on-hold scripts.

From script to phone system

Most phone systems and VoIP providers accept MP3 or WAV uploads. Generate the script in the VoiceoverWise studio with the Phone greeting style, download the format your provider asks for, and upload it. Recordings are for people calling you: VoiceoverWise must not be used for robocalls or unsolicited outbound calls (see our Acceptable Use Policy).
